Custom POS and EPOS systems for UK businesses
Point of sale software built around how your shop, bar or venue actually runs. We build it, install it and support it, and you own it outright.
When an off-the-shelf till stops fitting
Subscription POS is a sensible start for plenty of businesses. These are the usual signs you have outgrown it.
The monthly bill never ends
Subscription POS charges per terminal, every month, for as long as you trade, and many providers add a share of card sales on top. A system you own has no licence fee to keep paying.
Your staff work around the software
Off-the-shelf tills are built for the average business. If your team keeps a notebook, a spreadsheet or a workaround next to the till, the software is not doing its job.
Your sales data lives on their platform
Getting years of sales, stock and customer history out of a subscription system is often limited or awkward. On a system you own, the data is yours to report on, move or keep.
It does not connect to the rest of the business
Stock, accounts, online orders and loyalty end up in separate places, and somebody retypes figures between them. A custom system is built to talk to what you already use.
What goes into a Phantomhive POS system
Till and checkout
Touchscreen checkout, barcode scanning, receipts, refunds, discounts and staff logins, laid out around the way your counter actually works.
Stock and back office
Live stock levels, suppliers, reorder points and sales reporting, for one site or several.
Card payments
Integration with the card terminal and payment provider you choose, so you can shop around for processing rates instead of being tied to one.
Integrations
Links to your accounting software, online shop or loyalty scheme, so figures move between systems without anyone retyping them.
Self-service and unattended payment
Kiosks and cashless card readers for vending and self-service, where nobody is standing at a till.
What it costs, and when it is not worth it
Straight answers, including the case where we would tell you not to bother.
Building the software
A custom system typically costs £2,000 to £8,000 to develop, depending on how many sites, integrations and features it needs. You get a fixed-price proposal before anything is built.
Hardware
Terminals, receipt printers, scanners and cash drawers are quoted separately. Existing hardware can often be reused, and we check that on the first visit.
Card processing still applies
Owning your POS removes the software subscription and any cut the POS company takes. Your bank or payment provider still charges its own fee on card payments, as it would with any till.
When subscription POS is the better choice
If you turn over less than roughly £150,000 a year, or you are still testing the concept, an off-the-shelf system usually makes more sense for now. We will tell you so.
What businesses ask about custom POS
Will we still pay card transaction fees?
Yes. Card processing is charged by your bank or payment provider, not by the POS software. What you stop paying is the monthly software subscription and any percentage the POS company adds on top.
Can we keep our current tills and card terminals?
Often, yes. It depends on the age and make of the hardware. We check what you have on the first visit and only recommend replacing what genuinely needs it.
How long does it take to build?
It depends on the scope. We agree a fixed timeline in the proposal once we understand the operation, rather than guessing before we have seen it.
Who owns the software?
You do. The system is handed over with full documentation. Ongoing support is optional, and the system keeps running whether or not you take it.
Do you install on site?
Yes, across the West Midlands and Staffordshire as standard. Elsewhere in the UK, software work is delivered remotely and installations are quoted with travel included.
Is this for retail or hospitality?
Both. Shops, cafes, bars and venues all have different checkout flows, which is the main reason a custom system is worth considering.
